Welcome to the HOA Newsletter! The goal is to share important updates, events, and news for our community.
This year’s annual Emory Trace HOA meeting took place on November 17th 2025 at 6:30 pm at the Westfield Washington Public Library.
Thank you to everyone who was able to attend or sent in their proxy- we had enough homeowners to make quorum and conduct business.
Reports were given by all members of the board on current events and future information.
Discussion included whether or not to install a management company in addition to the HOA board for business in the neighborhood. A vote was cast to keep the current structure of the board and committees, with more detail and pricing comparisions on management companies to be pursued for next year’s annual meeting.
Changes to the covenants were presented and voted on by signature.
The 2026 budget was passed, please see a highlight of the approved budget below:
Administrative Expenses: $13,372.38
Insurance/Taxes/Utilities: $2.578.00
Grounds: $38,523.97
Amenities: $8,140.00
Total Expenses: $62,614.35
We’re already looking forward to next year’s meeting!
Dues in the amount of $925 need to be paid by January 31. 2026. There is an additional estimated credit card service fee of $27.63 or $5 for echeck/ACH.

Architecture Control Committee (ACC) Requirements:
☆Approve and disapprove proposed architectural improvements to ensure quality and compliance
☆Provide architecture guidelines for the community

Report from the Board:
In an effort to improve transparency and communication from the Board of Directors, future newsletters will include reports of current grievance requests and their status.
4 grievances were filed between August and December 8th 2025, regarding fences, lighting, and pets. 2 grievances for fences were found to be in compliance with the Emory Trace covenants and no further action will be taken. 1 grievance for lighting has been resolved, with a follow up needed to adopt a lighting standard for the community. 1 grievance regarding pets awaits a deadline provided to the homeowners by the board.
November minutes and the November financial report are live on the Emory Trace website, emorytracehoa.com. Monthly minutes and financial reports will be available no later than 7 days on the Emory Trace HOA website after the board meets each month.
